GETTING STARTED
Contact us to book Blue Sky Weddings as your wedding coordinator/planner and get started planning your wedding and events. Whether you choose a wedding package or to book separately, you will sign a contract with Blue Sky Weddings and place a retainer fee to start working with us on your wedding, ceremony, reception or event.
We will do an estimate for you prior to you signing a contract with Blue Sky Weddings should you want one.
Reservations will not be confirmed with Blue Sky Weddings until a non-refundable retainer in the amount of $1800 is received by Blue Sky Weddings. Once we receive your retainer we schedule a phone consultation or meeting to discuss the details of your wedding. From this conversation an outline of your event will be put together along with an estimate of pricing for any additions or changes. Vendors and details will be discussed and chosen during the planning process. Blue Sky Weddings will send you an itemized invoice listing all expenses, vendor prices and bookings.
ADDITIONAL DEPOSITS
Additional deposits will be required to secure locations, rentals and/or other vendors or services. You will be notified of these requirements when they apply. These additional deposits are also non-refundable upon receipt as required by the site provider or sub-contractor.
FEES
Blue Sky Weddings has a $2500 minimum fee to coordinate a wedding/reception or event.
We also charge a fee for the event or wedding day and rehearsal or site meeting ranging from $600 - $1200. Fees vary depending on the set up required and the help required placing items supplied by client (place cards, favors, table décor, etc) and number of hours on site @$125 an hour.
Blue Sky Weddings charges a commission fee of 20% of all services. Any changes or additions will be subject to this fee. All packages already include this fee. All sales are subject to current State of Hawaii tax.
OUR FEES INCLUDE THE FOLLOWING SERVICES:
Pre Wedding, Reception and Event Coordination
Secures Blue Sky Weddings as your event planning company
Provides detailed information about locations, vendors and services
Finds you the perfect location for your wedding, reception and events
Reserves your desired location and vendors, plus handles all contracts, payments and deposits as required by vendors
Obtains quotes for custom requests
Arranges site inspections and meetings with vendors along with a schedule of vendors meetings should you choose to visit Hawaii prior to your event date: Note: This should be done 1 year to 3 months in advance of wedding / event date
Offers unlimited correspondence by phone and email, makes your phone calls, provides counsel and advise
Co-creates style, décor and design.
Assists with floral design, menu planning and catering details and etiquette
Coordinates transportation
Provides information about activities and accommodations
Provides itemized invoice and vendor details to you in writing prior to event day
Arranges the timing and details of services and schedule for event day
Creates a timeline for wedding and reception
Coordinates all aspects of your wedding, logistics and timing
Takes full responsibility for all vendors secured through Blue Sky Weddings
Carries liability insurance and meets with all venue requirements
Onsite Coordination:
Directs your wedding rehearsal
Facilitates set up of event from first on site vendors through tear down
Helps with menu cards, place cards and favor placement
Manages the timing and flow of events with you, your family, wedding party and vendors
Supervises vendors, arrivals, and delivery of services
Pays all vendors as outlined in contracts
Resolves any unforeseen issues behind the scenes
Services incurring extra fees
Site Touring Fees - $100 per hour (drive time included)
Holidays - Some vendors charge more for holidays and these fees will be passed on to you
Menus tastings are no charge and we are happy to provide this for you if you are our client:
Menus Tastings: if you are not signed with Blue Sky Weddings - $100 per hour + cost of samples
Cake tasting, , etc. - $100 per hour + cost of samples if required by vendor (drive time included) if you require BSW to accompany you
Wedding On-site services and reception on-site services $125 hourly (pro-rated every 15 minutes) if extra set up management is required
PAYMENT INFORMATION
You will have a payment schedule with due dates for deposits to vendors. After initial deposits are made to vendors there will be 2 payments for the balance of your invoice. Sixty days prior to wedding date 50% of remaining invoice is due. Final payment of remaining balance is due NO LATER than 30 days before your wedding date. Payments are due regardless of changes or additions to your invoice. Out-of-state checks will not be accepted closer than 45 days prior to your function. Please allow for 5-10 days if using regular mail
Changes to wedding packages, services or items reserved are acceptable up until 45 days prior to your event. If changes are made regarding vendors or locations that have been secured with a deposit, this deposit may be forfeited. All deposits/payments will become non-refundable 60 days prior to your event date. Any additions to a wedding package are acceptable provided we are able to secure the services requested within this time frame.
Payment may be made by personal check, bank money order or traveler's checks. As an additional service we also accept Visa, MasterCard and American Express. Credit card
Transactions will incur an additional 3.5% processing fee
CANCELLATIONS
Any cancellations to wedding/event reservations must be made in writing to Blue Sky Weddings no later than 45 days prior to your event date. All deposits received by Blue Sky Weddings and/or additional deposits for vendors, sites, rentals, etc. that secured services for your date will be forfeited. Event dates and/or deposits are non-transferable. If for any reason you decide to cancel your wedding services within 45 days of the wedding or event date, you will be charged 100% of your total wedding services plus your nonrefundable coordination deposit.
Cancellations within 45-60 days will incur 75% of the total estimated charges plus any vendor deposits (per their cancellation policy).
Cancellations within 60-90 days will incur 50% of total estimated charges plus any vendor deposits.
Cancellations prior to 120 days will incur a refund less original coordination deposit(s) plus any vendor deposits (per their cancellation policy). All cancellation fees are on top of the initial nonrefundable deposit(s).
Changing Date or Location: _Once your deposit is received you have 3 weeks to change the date or location without penalty. If you decide for any reason to change your wedding date or location after 4 weeks then a $250 fee will be incurred.
SPECIAL NOTES
Blue Sky Weddings is happy to make suggestions to stay within a specified budget, however the decision weather or not to go over your budget is up to the client.
All vendors and services directly related to the event must be secured and contracted through Blue Sky Weddings. This allows us to maintain the quality of your event.
Blue Sky Weddings charges a coordination fee on all your event costs. This fee is in addition to the day of site fee for your event.
